Terms of Service

The terms governing professional access to and use of Vetra as a systematic review support tool.

Last updated: 2026

Important: Vetra is a support tool. You must review the evidence and validate any material scientific, methodological, editorial or clinical decision.

1. Provider and scope

Vetra is a professional service supporting systematic reviews.

These Terms govern access to and use of Vetra's website, platform and features. The service is intended exclusively for professionals, researchers and institutions, and not for consumers.

You must be at least 18 years old, have sufficient capacity to accept these Terms and, when acting on behalf of an institution, have authority to bind it.

2. Account and access

You must provide accurate information, keep it current and protect your credentials. You are responsible for activity carried out through your account, except where that activity results from a failure attributable to Vetra.

If you suspect unauthorised access, you must promptly notify info@vetralab.org. Institutions are responsible for assigning and removing their members' permissions in line with their own policies.

3. Acceptable and prohibited use

You may use Vetra only for lawful professional and research activities, in accordance with these Terms and applicable law.

You must not:

  • compromise or test, without authorisation, the security, integrity or availability of the service;
  • reverse engineer the service, bypass technical limits or use automated access without authorisation;
  • resell, sublicense or make the service available to third parties outside authorised uses;
  • infringe third-party rights or use Vetra for fraudulent, unlawful or harmful purposes;
  • use outputs to make automated clinical decisions or replace professional judgement;
  • upload health records, participant datasets, confidential patient information or other identifiable personal data about participants; or
  • upload confidential material or content outside the scope of published scientific articles.

4. Responsibility for documents

Vetra forms part of the researcher's workflow but is not involved in obtaining documents. As a user, you are responsible for confirming that you have the rights, licences, permissions or legal exceptions required to access, upload and process each article, and for complying with institutional access terms and any other applicable restrictions.

Public availability of an article does not by itself authorise every form of reuse. Vetra does not verify the ownership or provenance of each document, does not provide or recommend methods for bypassing access controls or contractual restrictions, and accepts no responsibility for how a user obtained the content or for any breach connected with its access or use.

5. Intellectual property

Your content

Rights in articles and other uploaded content belong to their respective holders. You retain any rights you hold in your own content; uploading articles does not transfer their ownership to Vetra or grant you any third-party rights. Within the scope of the rights, permissions or legal authorisations available to you, you grant Vetra a non-exclusive, limited, worldwide and temporary licence to host, reproduce and process that content only to the extent required to provide, maintain and secure the requested service.

The licence ends when the content is no longer needed for those purposes, subject to temporary backups, security measures and legal obligations. Vetra does not use your documents for training, model development, secondary commercial purposes or improvements based on the papers you upload.

The platform

Vetra retains all rights in its software, interface, methodology, templates, trade marks, documentation and pre-existing materials. These Terms do not transfer rights in those materials beyond your limited use of the service.

Outputs

To the extent permitted by law, any rights that may exist in outputs generated for you are assigned to you. We do not guarantee that an output generated wholly or partly by AI will meet the requirements for originality, authorship or legal protection.

Copyright complaints

Any person or organisation that believes content or use through Vetra infringes copyright may notify info@vetralab.org. The notice should include:

  • identification of the work and the rights allegedly infringed;
  • the precise location of the content in Vetra, using a link, project identifier or other details that allow it to be found;
  • an explanation of the alleged infringement and supporting documentation, where available;
  • a contact name and email address and, if acting for a rights holder, details of that representation;
  • a statement of good faith that the information provided is accurate and complete.

Vetra will acknowledge receipt and review the notice diligently and objectively. We may request clarification and consult the affected user or institution where appropriate. Where there is a clear risk, we may temporarily block the content or disputed use while reviewing the complaint.

Following review, Vetra will decide whether to remove the content, restrict its use or access, restore it or take no action. We will communicate the decision and its reasons to the complainant and affected user where appropriate and unless legally prohibited, and indicate the available review options. Either party may request a review by emailing the same address, without prejudice to other applicable legal remedies.

Vetra will retain only the records and information necessary to document the action, meet legal obligations or defend claims, in accordance with the Privacy Policy.

6. AI, human oversight and no scientific guarantee

Vetra uses artificial intelligence for certain features. Its suggestions, extractions, classifications, evidence references and text may be incomplete, inaccurate or contain errors and hallucinations.

You must review the evidence and validate any material decision. Vetra does not replace researcher judgement, independent methodological review or clinical, legal or regulatory advice.

Vetra does not guarantee publication, editorial acceptance, research reproducibility, or scientific or methodological validity. The final decision and responsibility for the work remain with the user and, where applicable, their institution.

See AI & Data Processing to understand what information is processed and how AI providers are involved.

7. Availability and changes

We work to keep Vetra available and operating properly, but do not guarantee that the service will be uninterrupted, secure against every risk or error-free. Maintenance, incidents, provider changes or interruptions may occur.

We may modify features to improve, secure or adapt the service and may update these Terms. Where a material change affects your rights or obligations, we will seek to give reasonable advance notice. The visible update date identifies the published version.

8. Suspension and closure

We may restrict or suspend access where these Terms are breached. As a general rule, we will notify you of the breach and allow 10 days to remedy it.

We may act immediately where needed to address fraud, illegality, security risks, serious breaches or urgent harm to Vetra, its users or third parties. You may request a review by writing to info@vetralab.org.

You can delete projects and results using the features available in the application. To request deletion of a full account or organisation, email the same address. Export and deletion will be handled according to available capabilities, the Privacy Policy and applicable retention obligations.

9. Warranties and limitation of liability

Vetra is provided as a professional support tool and on an as-available basis. To the fullest extent permitted by law, we disclaim implied warranties of fitness for a particular purpose, absolute accuracy, continuous availability and complete freedom from errors.

Vetra will not be liable for indirect losses, lost profits, loss of opportunity, loss or corruption of data, business interruption, or decisions based on outputs that the user has not reviewed and validated. Nor will Vetra be responsible for unauthorised account use that does not result from a breach attributable to Vetra, or for third-party incidents outside our reasonable control.

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, including liability arising from wilful misconduct, gross negligence or rights that applicable law makes mandatory.

Each party must take reasonable steps to mitigate foreseeable losses. The user's liability for unlawful use, third-party rights infringements or breaches of their obligations is not excluded by this section.

10. Governing law and jurisdiction

These Terms are governed by Spanish law. For any dispute, the parties submit to the courts of Valencia, Spain, unless a mandatory rule requires a different forum.

If any provision is found invalid or unenforceable, the remaining provisions will continue in effect. A failure to exercise a right does not waive that right.

11. Contact and language

For questions about these Terms, incidents or account-related requests, email info@vetralab.org.

These Terms are available in Spanish and English. If there is any discrepancy between the two versions, the Spanish version prevails.
